SOLA Studio Policies

Reservation, Cancellation, Waitlist, and Attendance Policies

  • Reservations are personal and non-transferable. Only the registered Client, Member, or Participant may use a reservation. Reservations should be made online through SOLA's booking system. Reservations are subject to class capacity, equipment availability, instructor availability, and account standing. Clients are responsible for managing reservations, waitlists, notifications, cancellations, and account information. Reservation windows may vary by membership type, package, promotion, class type, or system configuration. SOLA may cancel, substitute, or modify a class when needed due to instructor availability, safety, maintenance, weather, emergency, low enrollment, or business needs

  • Class check-in and late arrivals Clients should arrive early enough to check in, store belongings, and prepare for class. Classes begin promptly at the scheduled time. Clients have a maximum 5-minute grace period. After 5 minutes, entry may be denied and the No-Show policy may apply. Late arrival after the grace period may be treated as a no-show. Clients must check in using SOLA's check-in system before class begins.

  • Cancellation and no-show policy Once a Client is checked in, attendance cannot be canceled. Leaving class early does not restore a credit or avoid applicable fees. Changing classes inside the cancellation window does not avoid penalties. If an instructor is absent or an unexpected issue occurs without prior notification, Clients should email hello@solastudiopilates.com as soon as practical. If SOLA cancels a class, SOLA will notify Clients through the booking software, email, and/or SMS when reasonably possible; credits return to the account and no penalties apply. All classes require 24-hour cancellation notice. A late cancellation is a cancellation made less than 24 hours before class. A no-show is failure to attend without canceling. Changing classes inside the 24-hour cancellation window is treated as a late cancellation.

  • Waitlist policy Waitlist enrollment and booking may occur automatically through the booking system. Clients are responsible for monitoring email, SMS, app, and booking-system notifications. Waitlisted reservations remain subject to the cancellation and no-show policy once the Client is admitted into class. Clients may join a waitlist when a class is full. If a spot opens, the booking system may automatically add the waitlisted client to class and send notice by email, text, or app notification. SOLA STUDIO PILATES Client Legal & Policy Package July 21, 2026 | 1728 Pacific Avenue, Forest Grove, OR 97116 Once admitted from the waitlist, the client is responsible for the reservation and all cancellation/no-show rules apply. Clients who can no longer attend must remove themselves from the waitlist before being added to class. If a client is not admitted from the waitlist, the credit remains on the account. SOLA is not responsible for missed notifications caused by client device settings, disabled notifications, outdated contact information, or third-party booking-system delays.

  • Force Majeure SOLA Studio Pilates is not responsible for class interruptions, closures, schedule changes, or cancellations caused by events beyond its reasonable control, including severe weather, natural disasters, power outages, public health emergencies, government orders, fire, flooding, building issues, instructor emergencies, or other unforeseen circumstances. When reasonably possible, SOLA will communicate disruptions through the booking software, email, and/or SMS.

    Reservation Policy: Class credit members and package clients who late cancel or do not show up for a scheduled MAT class will forfeit one MAT class credit. For Reformer classes, they will forfeit one Reformer class credit. Unlimited members who late cancel or do not show up for a MAT class will be automatically charged an $18 late cancellation or no show fee to the card on file. For Reformer classes, unlimited members will be automatically charged a $29 late cancellation or no show fee to the card on file.

Credit Package Policies

  • Expiration and use All 4, 8, and 12 credit packages expire 30 calendar days after purchase. Credits do not roll over. Credits are personal and non-transferable. Credits cannot be sold, shared, gifted, assigned, or used by another person. Credit packages are final sale. Expired credits have no extensions, reinstatement, cash value, or refunds unless SOLA approves otherwise in writing or applicable law requires otherwise. The Client is responsible for using credits before expiration. SOLA is not required to send expiration reminders. SOLA may modify pricing and credit package structure at any time. Credits may only be used for eligible class reservations. Credits may not be used toward memberships, retail, grip socks, merchandise, workshops, events, private sessions, semi-private sessions, or any other service unless approved by SOLA in writing.

  • Refunds, extensions, and special credits Credit packages, intro offers, promotional credits, discounted purchases, and special-event purchases are final sale and non-refundable unless required by law. SOLA Studio Pilates may extend credits at its sole discretion for documented medical emergencies or extraordinary circumstances. Extension requests must be submitted in writing to hello@solastudiopilates.com and require written approval from SOLA. Until written approval is received, the original expiration date remains effective. If SOLA cancels a class, the credit returns to the account and no penalty applies


Payment, Auto-Payment Authorization, and Refund Policies

  • Payment authorization - A valid card on file is required at all times. The Client is responsible for updating payment information before billing or booking. Declined payments may result in account suspension and loss of booking privileges until resolved. SOLA may modify prices, memberships, packages, policies, schedules, class formats, and instructors at any time, subject to applicable law. By purchasing a membership, class credit, package, private session, retail item, event, or other service, the client authorizes SOLA Studio Pilates and its third-party payment processor to charge the payment method on file for all authorized purchases, recurring membership dues, taxes, late cancellation fees, no-show fees, failed-payment balances, and other amounts owed under SOLA policies. Clients must maintain a valid card or payment method on file. Failed payments, expired cards, declined transactions, chargebacks, and outstanding balances may result in suspended booking privileges. SOLA may retry failed payments and may require payment of all outstanding balances before the client books or attends additional services. Clients are responsible for updating payment information before the next billing date. Payment processors such as Stripe may maintain payment data under their own terms and privacy practices.

  • Refund policy - Membership dues are non refundable after billing except where required by law or expressly approved in writing by SOLA Studio Pilates. Class credits and packages are non refundable and non transferable except where required by law. Promotional purchases and introductory offers are final sale and are not eligible for refunds, extensions, or transfers unless required by law or otherwise stated in the offer. Unworn and unused retail products may be exchanged or returned for studio credit within the studio's posted return window if offered by SOLA Studio Pilates. Final sale items, opened products, socks, and other hygiene sensitive items are not eligible for return or exchange. If SOLA Studio Pilates cancels a class, the class credit will be returned to the client's account, and no late cancellation or no show fee will be charged.



Studio Policies and Code of Conduct

  • SOLA reserves the right to refuse service.

  • Clients are responsible for intentional or negligent property damage.

  • Only registered Clients are allowed in workout areas.

  • No guests, children, or pets are allowed in workout areas, except service animals as required by law.

  • Membership may be terminated without refund for abusive, threatening, unsafe, discriminatory, harassing, or inappropriate behavior.

  • Grip socks are required for all SOLA Mat and Reformer classes.

  • Clients may not participate barefoot, in regular socks, or in street shoes.

  • Street shoes should remain outside the practice area.

  • Clients should bring water and any towel needed for personal comfort.

  • Phones should be silenced and kept away during class unless needed for urgent personal reasons.

  • Clients must treat instructors, staff, and other clients with respect. Harassment, discrimination, intimidation, threats, unsafe behavior, or disruptive conduct are not permitted.

  • Clients must clean equipment and props as instructed.

  • Clients are responsible for personal belongings.

  • SOLA is not responsible for lost, stolen, or damaged items.

  • SOLA may refuse service, remove a client from class, suspend booking privileges, or terminate account access for safety, misconduct, nonpayment, repeated policy violations, or behavior inconsistent with the SOLA community.
